Superior Communication
Communication is integral to outsourcing
TA believes that good communication is central to the success of an outsourced project. And no, that‘s not an exaggeration.
Examine any outsourced project or deal that didn‘t make it till the last leg of the race. You‘ll probably come to realize that the main reason for the failure of the project was a lack of clarity on expectations.
Clarifying objectives and goals
Almost all TA clients work halfway across the globe. They operate in time zones that are vastly different to ours and engage in models that could be different. Having been around for a while, TA fully understands the complexities of such an engagement.
That is why we have taken deliberate steps to ensure that every member on a project - both from the client‘s end as well as from TA is mutually agreed upon objectives and expectations. We make it a point to ensure that communication channels are constantly open and every member on the project is apprised of progress.
Here are a few communications tools and best practices that have stood us in good stead:
Communication Tools
VOIP: Real-time conferencing and conversation is an integral part of TA‘s communication strategy. Keeping in mind the differences in time, we have worked out communication windows that are convenient and acceptable to our clients. During this time, we are available for chats and calls on internet messengers or VOIP.
Email: We believe that emails are a great way to be clear on goals and expectations. Often, we recap conversations and decisions on email, so we have a mutual understanding on what needs to be achieved.
Online Conference and Collaboration Tools: For projects that require customer walkthroughs, we use tools like Web Ex, an online conferencing software. Often, we also use Skype.
Project Management Tools: An online project management tool, Basecamp allows you to remain up-to-date on your work. This increases the amount of control you exercise on your progress.
Best Practices for Effective Communication
Our best practices for communication pre-empts loopholes and engages everybody involved in the project in a constant dialog. It ensures that the communication channels are always open and that there is continuous communication with everyone involved, from the bottom up.
Agile Documentation: Appropriate documentation with an emphasis on visual and interactive presentation in order to enhance clarity and comprehensiveness.
Escalation Procedure: Should a need arise to escalate issues, we ensure that we provide you with a clear escalation procedure.
Weekly Review: A weekly meeting between your virtual team (that‘s us!) and onsite team ensures that all goals and expectations are clarified.
Weekly Reports: Your team members would send you a weekly report on what has been achieved through the week as well as plans for the upcoming week.
